Training Terms & Conditions

Welbeck Sailing Club

These Terms and Conditions apply to all training courses, sessions, and activities delivered by Welbeck Sailing Club (“the Club”). By booking or participating in any course, you agree to comply with these Terms and Conditions. All Club training is delivered in accordance with Royal Yachting Association (RYA) guidelines where applicable.

1. Eligibility & Membership

  • Participants must meet the minimum age requirements stated for each course.
  • Junior participants (under 18) must have consent from a parent or legal guardian.
  • Some courses may require current Club membership; where applicable, membership must be valid for the duration of the course.
  • Required booking, consent, and medical declaration forms must be completed prior to participation.

2. Booking & Payment

  • A course place is confirmed only when full payment (or a deposit, where applicable) has been received.
  • Where courses are booked via TicketSource, payments are processed securely by TicketSource and their authorised payment providers. The Club does not store or process card details.
  • Course fees include tuition and the use of Club equipment unless otherwise stated.
  • The Club reserves the right to refuse or cancel a booking at its discretion.

3. Cancellations, Transfers & Refunds

a. Cancellations by Participants

Refunds are determined by the number of days before the course start date:

  • More than 28 days before the course start date:
    Full refund, less a £10 administration charge.

  • 14–28 days before the course start date:
    50% refund of course fees.

  • Less than 14 days before the course start date:
    No refund unless the Club is able to fill the space from a waiting list.
    If filled, a refund may be offered at the Club’s discretion.

  • Non‑attendance without notice:
    No refund or credit will be issued.

b. Transfers

  • Requests to transfer to another course must be made at least 14 days before the original start date.
  • Transfers are subject to availability.
  • An administration fee may apply.

c. Cancellations by the Club

The Club may cancel or postpone a course due to:

  • Insufficient bookings
  • Adverse weather
  • Instructor illness or unavailability
  • Safety concerns
  • Other circumstances beyond the Club’s control

If the Club cancels a course, participants will be offered:

  • A full refund, or
  • A transfer to another available course date

The Club will not be liable for any additional costs incurred (e.g., travel, accommodation, childcare).

d. Illness or Emergencies

In genuine cases of illness or emergency, the Club may, at its discretion:

  • Provide a partial refund or
  • Transfer the participant to a later course

Supporting evidence (e.g., a medical note) may be required.

e. How to Cancel

Cancellation or transfer requests must be made in writing to the Training Principal at:

The date of receipt determines which refund terms apply.

4. Weather Conditions

Sailing is a weather‑dependent activity. Courses will proceed in a broad range of conditions unless the Chief Instructor or responsible instructor deems it unsafe.

If on‑water sessions are not possible, suitable alternative shore‑based instruction may be provided.
No refunds are issued due to weather unless the Club cancels the session in accordance with Section 3(c).

5. Safety & Conduct

  • All participants must follow instructions from instructors and safety personnel.
  • Approved buoyancy aids must be worn while on or near the water.
  • Participants must behave responsibly and show respect for others at all times.
  • The Club reserves the right to remove any participant whose behaviour is unsafe or inappropriate. No refund will be issued in such cases.

6. Medical Conditions

  • Participants must declare all relevant medical conditions or additional needs during booking.
  • The Club may refuse participation if a condition poses a safety risk.
  • Participants must bring any required medication and inform instructors of its use (e.g., inhalers, EpiPens).

7. Clothing & Equipment

  • Participants must wear suitable clothing and footwear appropriate for sailing and expected weather conditions.
  • Personal belongings and equipment remain the participant’s responsibility.
  • Damage to Club equipment caused by negligence or misuse may be chargeable.

8. Photography & Media

The Club may take photographs or videos during training sessions for promotional or educational purposes.
Participants who do not wish to appear in media must inform the Club in writing before the course start date.

9. Insurance & Liability

  • Welbeck Sailing Club maintains insurance cover in line with RYA requirements.
  • Sailing and watersports involve inherent risks; participation is at the individual’s own risk.
  • The Club, its instructors, and volunteers shall not be liable for loss, damage, or injury except where caused by negligence.

10. Certification

RYA certificates are issued at the instructor’s discretion and only when the required standard is achieved.
Participation alone does not guarantee certification.

11. Data Protection

Personal data collected during the booking process is processed in accordance with the Club’s Privacy Policy and UK data protection legislation.
